When fleet data is so abundant and easy to come by, it’s tempting to think that the human element is no longer required. In reality, telematics creates value only when organizations establish ownership, review exceptions, and follow through.

An unstated assumption has crept into fleet operations: that technology can operate as a self-managing safety program. The fleets getting the most value from the technology have learned the opposite lesson.

“The better your data becomes, the more human involvement may be required,” says Candice Morley, Director of Client Products at Mike Albert Fleet Solutions. “I know that can sound counterintuitive, but it’s true.”

Why fleet telematics management needs a human in the loop

Technology alone doesn't create better fleet outcomes. The most successful programs combine data insights with operational expertise, because a platform can surface patterns, but it can't decide what they mean for your business or what to do next. Fleet telematics management, done well, works as a partnership. “In short,” says Morley, “the system handles volume and vigilance while people should handle the judgment and follow-through.”

Why telematics data analysis alone isn't enough

Distinguishing actionable alerts from noise

Modern telematics platforms generate large volumes of information: maintenance alerts, harsh-event flags, routing data, fuel patterns, and more. All of it streams into whatever dashboard the fleet has chosen. “And here's where the trouble can begin,” says Morley. “Seeing the data is one thing, but knowing what it suggests, and what to do about it, is another.”

For example, consider a check-engine alert. In one vehicle, the cause is a gas cap that a driver didn't tighten fully, which is easily fixed at the next stop. In another, the same alert signals a transmission issue that needs immediate attention, before a small problem becomes a big, expensive one. “The platform flags both,” says Morley, “but it doesn't necessarily distinguish between them, which is why human intervention is critical.” Data collection is not an objective in itself; its value lies in improving safety, uptime, cost control, and the driver experience.

The telematics manager's role in prioritizing data

Morley explains that most telematics data lands in the “good-to-know-but-no-action-required” category. "The value of effective telematics data analysis lies in parsing out the small share that's genuinely actionable and getting it in front of the right person in time to matter,” she says. That's the job of whoever fills the telematics manager role in your operation, regardless of whether that title is formal or not.

“Collecting more data should never be the sole point,” Morley adds. The goals are safer drivers, fewer operational disruptions, proactively managed costs, and a better experience for every fleet stakeholder.” (Related reading: Five ways fleet data analytics is powering fleet strategy.)

Fleet telematics technology adoption requires trust, not just rollout

Overcoming the “Big Brother” perception

“The most common misconception about telematics is that it exists to catch people doing something wrong, and a ‘gotcha’ mindset wastes most of what the technology is good for,” says Morley. Successful fleet telematics technology adoption is as much a change-management initiative as a technological one. The organizations that succeed communicate clearly how the technology protects drivers, improves safety, and supports professional development.

The protection is real. Video and vehicle data regularly provide the context needed to clear drivers in not-at-fault incidents, distinguishing driver-related issues from external factors during incident reviews. When drivers see the technology help protect a colleague, it can materially improve acceptance.

Building driver buy-in during adoption

“Our human preference for competition and positive reinforcement does a lot of work here,” says Morley. “Recognition for safe driving, whether that’s a shout-out in the company newsletter or a gift card, typically results in more sustainable engagement than a compliance-only approach.” She adds that a leaderboard naming the safest drivers of the week, month, or quarter can motivate engagement. Prizes can boost interest, but plenty of us compete to win even when there's no tangible reward on the table.

Human oversight strengthens accountability

Why in-cab alerts aren't a complete safety program

Real-time coaching alerts are genuinely useful, helping bring attention to behaviors that otherwise go unnoticed. Drivers may not realize the habits they've developed behind the wheel until something reminds them, and often self-correct quickly to avoid the repeated prompts. But if in-cab alerts are the entire safety program, the program is incomplete, says Morley.

She notes how a human still needs to review the data and study the bigger picture. How often does a behavior like harsh cornering occur? What's the root cause? Is it one driver, one route, one time of day, or something systemic? Those reviews, and the coaching conversations that follow, aren't work the technology can or should do for you. An effective telematics program is ultimately an extension of an organization's duty of care, and the data creates accountability in both directions. “For example,” Morley says, “if a driver is repeatedly flagged for risky behavior while nothing happens beyond the automated prompts and the keys keep getting handed over, that could create significant exposure if the driver continues to operate the vehicle without documented intervention. This may increase legal and liability exposure, depending on the circumstances and applicable requirements.”

Morley adds that insurers, risk managers, and organizational stakeholders are increasingly considering how telematics data is reviewed and acted upon, reflecting a broader industry shift toward proactive risk management and driver safety.

Trust the system, but don't surrender to it

What predictive telematics can (and can't) tell you

We've all overridden a GPS reroute, certain we knew better, only to learn the hard way that the system was working with information we didn't have. Fleet technology asks for a similar kind of trust, applied with judgment. Because data providers see patterns across an enormous base of vehicles and drivers, platforms can now estimate which drivers face elevated incident risk and how long a vehicle is likely to run before a deferred maintenance item becomes a breakdown.

“What the platform can't know is your operation,” says Morley. “It connects data points and surfaces correlations a person might miss, but it has no idea how a given decision fits the rest of your business. That knowledge belongs to you and your team.”

Turning insights into consistent action

Morley advises fleet managers to trust the system to handle what it does well. Then remember that trust and surrender are different things. Humans are still needed to interpret the predictions, decide what to do about them, and, of course, maintain the vehicles. The biggest challenge most organizations face is operationalizing the data rather than accessing it, Morley says, adding that telematics data only becomes meaningful the moment someone looks at it and acts on it, which is a big part of why data has become the heart of fleet operations.

Make fleet telematics management a team effort

Morley says a few key questions can reveal where your fleet stands on the telematics data front. For example: Who on your team reviews the data, and how often? When an alert arrives, is there a clear path from dashboard to decision to action? Do your drivers view the program as career protection and development, or as a way to “catch and punish” them? And if an incident happened tomorrow, would your records demonstrate a consistent documented process for reviewing and addressing identified risks?

As telematics grows more sophisticated, the greatest returns will go to the organizations that build the strongest connection between insight and action, rather than the ones holding the most data. “Define your intentions from the start,” advises Morley. “Then follow through on what the platform surfaces. Let the system do the heavy lifting in between. That approach is what makes the technology worth having in the first place.”
